Privacy Policy

This policy covers the contact forms, event pages and reminders run by Subtle Real Estate, Subtle Asian Real Estate and the related businesses that use this system (together, “we”). It explains what we collect, why, who helps us process it, and how to stop hearing from us.
What we collect
Forms and newsletter sign-ups. The fields the form asks for — usually your name and email, and sometimes phone, company, role, city or LinkedIn URL — plus the time you submitted it and the page it came from.
Event registration and check-in. Your name, email, the event you registered for, whether you checked in, and, if you ticked the box, your mobile number and the time you agreed to text reminders.
Email we send you. Whether a campaign or reminder was delivered, opened or clicked, and whether you unsubscribed.
Email and calendar activity. When a team member connects their Google account, we record that they emailed or met with someone already in our contact list: the date, the subject line or meeting title, and the direction (sent or received). We do not store message bodies, attachments or calendar notes, and nobody is added to our list this way.
How we use it
To reply to you, run the events you register for, send the reminders you asked for, send occasional updates you can unsubscribe from at any time, and keep track of our relationship with you.
AI processing. Some features — drafting a follow-up, summarising past conversations with a contact — send that one contact’s record to an AI model through OpenRouter, which routes it to the model provider. Only the record the feature is about is sent, and a contact with no history is not sent at all.
We do not sell your personal information.
Text message reminders
Texts are sent only if you tick the reminder box when you register or check in. They are about the event you registered for — at most two per event. Message and data rates may apply. Reply STOP to any text to stop them, or HELP for help. Agreeing to texts is never a condition of registering.
Mobile numbers and text-message consent are not shared with third parties or affiliates for their marketing or promotional purposes.
Who processes it for us
Service providers that run parts of this system on our behalf: Supabase (database), Vercel (hosting), Resend (email delivery), Twilio (text messages), Google (Gmail and Calendar, for team members who connect them) and OpenRouter (AI features). They process it to provide their service to us. We may also disclose information when the law requires it.
Opting out and your choices
Email: use the Unsubscribe link at the bottom of any email. It stops every campaign and event reminder, not just the one you clicked.
Texts: reply STOP. Reply START to resume.
Access, correction or deletion: email hello@subtlerealestate.com and we will tell you what we hold about you, correct it, or delete it.
Keeping it
We keep contact records while we have a working relationship with you, and delete them when you ask. An unsubscribe is kept so we do not email you again.
